18/04/22 - Project Management - Entry 34

We've reached the end of our Enterprise marathon! This is the final post, where we will talk about Project Management: the backbone of your team.

Project management is really important for planning your team members' work and making sure your team gets everything. This is mainly the job of the Team Manager, though all members need to agree on the basic strategy.

Collaboration and communication is the basics of good project management. There's no good creating a roadmap where one person has fifty tasks while the other members have three.  And you can't go to the other extreme, where you delegate tasks so everyone has exactly equal task numbers. You need to delegate them in such a way that everyone is working on what they love but also tackling their fair share of the work. Communication is also very important as most tasks will have multiple members working on them. You need to communicate with them to delegate the subtasks appropriately. You also need to communicate to make sure everyone is working on what they are meant to and they aren't letting tasks drag on.

To make a good management system, you first need to define your jobs and roles. Roles are your 'ceremonial name' like Manager, Design Engineer, Graphic Designer, etc. You want a good mix of people working on Enterprise and Design and Engineering. Jobs are the nitty gritty of what you are doing, like sketching, twitter posts, CAD, etc. You want to delegate jobs so everyone is working on what they love but also has a fair share of workload.

Next, you want to define your goal and roadmap. Your goal would most likely be reach the regional finals. This is the big milestone you need to reach, and what all your work will count to. Your roadmap is how you will get there, like the tasks you need to do, or the elements you need to submit. The roadmap will lay the basis of your management system and should be as detailed as possible.

Finally, you want to create your roadmap on a digital software. A digital software is great as it allows you to lay out all your tasks, group them together, and change their statuses when needed. we use ClickUp  as its free plan is amazing and comprehensive. We have written every single task to reach our goal and sorted them into Enterprise, DnE, Car, Sponsorship, Presentation and Pit Display. We have then added assignees, subtasks, due dates and time estimates. This allows us to track our tasks and how far we are to reaching our goal. We then change the status of the tasks when we need to to keep track of everyone's work and track overdue tasks.

We hope you enjoyed this post and the entire Enterprise series!
See you next time!

Please note, we are not sponsored by ClickUp and this a non-paid-for promotion because we think their product is so good.
